Box Elder County has an opening for a full time Legal Secretary. The full time Legal Secretary works under the direction of the County Attorney’s Office and performs a variety of legal secretarial, clerical and receptionist for the County Attorney’s Office, including acting as the certified Alternate TAC Officer for BCI (Bureau of Criminal Identification) to run criminal histories and ensure that the County Attorney’s Office is in compliance with all BCI requirements.  The full time Legal Secretary will assist with the management, administration and functioning of the office.  Applicant should have a high school diploma or GED, with graduation from college or university preferred and have 3 years of legal clerical experience, or equivalent combination of education and experience.

GENERAL PURPOSE

 

Performs a variety of legal secretarial, clerical and receptionist duties for the County Attorney’s Office, including acting as the certified Alternate TAC Officer for BCI (Bureau of Criminal Identification), to run criminal histories and ensure that the County Attorney’s Office is in compliance with all BCI requirements. Assist with the management, administration and functioning of the office.

 

SUPERVISION RECEIVED

 

Works under the supervision of the County Attorney and Deputy County Attorneys.

 

EXAMPLE OF DUTIES

 

Act as legal secretary for District Court, Juvenile Court, and Justice Court prosecutors by calendaring events, preparing subpoenas for witnesses, preparing needed court documents, and providing assistance and support to prosecutors.  Should be comfortable with and capable of using developing computer technology such as, paperless systems, electronic filing with the court, computer programs and databases utilized to organize cases, and prepare documents to be provided to the court and defense attorneys.

 

Accept requests for prosecution from law enforcement agencies and obtain all necessary documentation to prepare cases for screening by the assigned prosecutor. Manage and update the criminal prosecution database, assist prosecutors with providing discovery to defense attorneys, calendaring, issuing subpoenas, e-filing with the courts, tracking criminal cases through the prosecution process, labeling and filing of CDs to be used in criminal prosecutions, and assist defense attorneys in accessing digital discovery. 

 

Act as a receptionist by answering incoming telephones calls and assisting in responding to individuals visiting the office in person.  Process all incoming and outgoing mail. 

 

Become certified as an Alternate BCI TAC Officer, run criminal histories as needed by the County Attorney’s Office, establish and follow office procedures to ensure compliance with all BCI requirements.

 

Performs other related duties as required, including providing assistance to other office staff as needed/requested.

 

 

MINIMUM QUALIFICATIONS

 

         Education and Experience:

                    A.     High school diploma or GED, with degree from college or university preferred

                                                              AND

                    B. (3) years of legal clerical experience,

                                                  OR
                    C.  Any equivalent combination of education and experience.
 

         Necessary Knowledge, Skills and Abilities:

                    Knowledge of modern office practices, procedures, and machines (fax, copy machine, answering machine, personal computer);

                    Should be comfortable with and capable of using developing computer technology and software, such as, paperless systems, electronic                      filing with the court, computer programs and databases utilized to organize cases and prepare documents to be provided to the court                        or defense attorneys.

                   Working knowledge of English, grammar, spelling, punctuation, and technical writing skills.

                   Ability to establish and maintain effective working relationships with fellow employees, other agencies, supervisors, and the public.

                   Preference will be given to general legal knowledge and familiarity with the various courts and law enforcement agencies, prior legal                           experience in a county attorney's office or any other law office.

SPECIAL REQUIREMENTS

 

Must be bondable and pass a criminal background check.  Position will be fulltime.
