Box Elder County has an opening for a Deputy Recorder I. The Deputy Recorder I performs a variety of clerical duties designed to expedite the processing, recording and filing of legal documents presented to the County Recorder’s Office.

CLASS TITLE:   Deputy Recorder I

DEPARTMENT:   Recorder/Surveyor

GENERAL PURPOSE

Performs a variety of clerical duties designed to expedite the processing, recording and filing of legal documents presented to the County Recorder’s Office.

SUPERVISION RECEIVED

Works under the general guidance and direction of Box Elder County Recorder/Surveyor performing duties that involve some independent judgment.

EXAMPLE OF DUTIES

Records and affixes the Recorder’s stamp on all qualified documents received through the mail, over the counter or by electronic transmission; produces copies of official documents, abstracts and maps as requested; collects and receipts fees.

Examines recorded documents daily and determines which affect property ownership; updates ownership in office plat books, mylars and assessment roll in computer; plats all other documents; determines properties affected by changes and makes necessary corrections. 

Operates computer for entry and retrieval of data related to recorded documents, ownership maps, subdivision, annexation and other miscellaneous maps etc.; ensures accuracy of completed entries.

Scans documents and maps into the record keeping system and locates and scans missing or outdated  images as required.

Enters data from a wide variety of legal documents into County indexing program.  Establishes, maintains and manages systematic cross-referenced records, database files, and related systems for the storage and retrieval of data for County land records indexing.  Verifies data entered for completeness and accuracy.

Provides general information to title companies, attorneys, the public, and employees.  Responds to telephone calls and visiting public seeking land records information; answers questions involving land records and property. Assists with initial research of land records as needed to help locate requested information.

Monitors changes in laws and regulations impacting the recording and maintenance of land records; assists in implementing changes as approved by department administrators.  Assists in the review and proofing of indexed documents to ensure accuracy of filing and indexing.

Maintains and updates a current hard copy file on every platted parcel of land in Box Elder County.  Initiates projects designed to improve the condition of the Recorder/Surveyor plat books and makes improvements as necessary.  Makes corrections and updates mailing addresses on file. Assists in a variety of office related duties.

Receives money for transaction in Recorder’s Office and is responsible for daily balancing of cash register, receipts and money and passes them along to the County Auditor’s Office.

Performs other related duties as required.

MINIMUM QUALIFICATIONS

     

Education and Experience:

     

A.  Graduation from high school or equivalent.

AND

B.  Two (2) years of Title, Real Estate or Land Record work experience. (Preference given to work experience directly related to the duties described above.)

OR

     

      C.  Any equivalent combination of education and experience.

Required Knowledge, Skills and Abilities:

Reading, writing, and basic math; print neatly and precisely; operating standard office equipment; word processing, data entry, and basic spreadsheets.

Ability to maintain cooperative working relationships with those contacted during the course of work activities; communicate effectively verbally and in writing; understand and follow clear work instructions; provide relevant and useful elements from vast amounts of information; multi-task.

Must be able to read, understand, and compare meets and bounds legal descriptions.

Working Knowledge of processes and laws, codes, or regulations related to land ownership records.  Knowledge of Recorder’s Office policies and procedures and the software programs used in the Box Elder County Recorder/Surveyor’s Office.
